Privacy Policy

Guelph Grad Photos is a graduation photography service operating on the University of Guelph campus in Guelph, Ontario, Canada. This policy sets out what we collect, what we do with it, and what you can ask us to do about it.

Section 1

What we collect

  • Booking details. When you book a session we collect your name, email address, phone number, session date and package choice.
  • Payment. Bookings are processed through Acuity Scheduling, and payment is handled by our payment processor. We never see or store your full card number.
  • Your photographs. When we photograph you, we hold the resulting images. When we deliver them, we store the gallery and the access code tied to your session.
  • Correspondence. If you email us or use the contact form, we keep that correspondence so we can help you.
  • Site analytics. Like most websites, we use analytics to understand how people find and use this site. That data is aggregated and is not used to identify you personally.

Section 2

What we use it for

To arrange and photograph your session, to deliver your gallery, to answer your questions, and to send you information about your own booking.

We do not sell your personal information to anyone, and we do not add you to marketing lists you did not ask for.

Section 3

Your photos

Your images are yours to use. We do not publish photos of you in our portfolio, on social media, or in advertising without your permission, with one exception: if you booked at a promotional or discounted rate that explicitly included permission to feature your photos, those terms apply and were shown to you at the time of booking.

If you ever want your photos taken down from our website or social channels, email us and we will remove them.

Section 4

How long we keep things

Your gallery stays available for the archive period included with your package. After that it is removed from our servers. Please download and back up your photos before then.

Booking records are kept as long as we need them for tax and accounting purposes.

Section 5

Your rights

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email [email protected] and we will respond within a reasonable time.

Section 6

Use of AI-assisted tools

We use AI-assisted tools in parts of our work. We would rather set that out plainly than leave you to guess at it.

  • Editing your photos. We use AI features while editing and retouching, for tasks such as noise reduction, masking and clean-up. Some of these tools run on the provider’s servers rather than on our own computer, which means your images are uploaded to that provider so they can be processed.
  • Replying to you. We sometimes use AI to help draft replies to enquiries. If you email us or send us a form, the contents of your message may be processed by one of these tools.
  • Writing this website. AI helps us draft some of the text on this site. That work does not involve your photos or your personal details.

We do not sell your photographs or your personal information, to AI companies or to anyone else.

AI is a tool we use, not a decision-maker. We do not use AI to decide whether to accept a booking, issue a refund, or resolve a complaint. A person makes those calls.
